How I look after your information

1. Who I am

Sam Rigg Coaching is a one-to-one online coaching business run by Sam Rigg. I’m responsible for the personal information you share with me. You can contact me about anything in this policy at sam.r.rigg@gmail.com.

2. What information I collect

When you fill in one of my forms (on this website or on Instagram and Facebook ads), book a call, message me or become a client, I may collect:

  • Your name, email address and phone number (including your WhatsApp number)
  • Your answers to the questions on my forms, such as your goals, what you've tried before and your availability
  • Details you give when you book a call, such as your Instagram handle and anything you choose to tell me about your current situation and goals
  • Messages you send me on Instagram, WhatsApp or email
  • If you become a client: information needed to coach you, such as your progress, food and training logs, and payment details (payments are handled by Stripe, and I never see or store your full card details)
  • Recordings and transcripts of calls, only where I've told you at the start of the call and you're happy for it to be recorded

3. How I use it

  • To contact you about the call you booked or the enquiry you made
  • To prepare for our call so it's useful to you
  • To deliver coaching if you become a client
  • To take payment and keep business records
  • To follow up with you about coaching. You can tell me to stop at any time and I will.

I don’t sell your information and I don’t use it for anything unrelated to my coaching.

4. The legal basis for using it

  • Your consent, when you fill in a form or book a call
  • To carry out our coaching agreement if you become a client
  • My legitimate interest in running my business and replying to enquiries
  • Legal obligations, such as keeping financial records

5. Who I share it with

I only share your information with the services I use to run my business, and only as much as they need:

  • Meta (Instagram and Facebook), where ad lead forms are collected
  • Vercel and Supabase, which host this website and store forms submitted on it
  • Cal.com, for booking calls
  • Google (Gmail, Google Meet, Google Drive), for email, video calls and storing notes
  • WhatsApp, for messaging
  • Fathom, for call recordings and transcripts (only when you agree to the call being recorded)
  • Stripe, for payments
  • Everfit and MyFitnessPal, for delivering coaching if you become a client

Some of these services store data outside the UK. Where they do, they use the safeguards required under UK and EU data protection law.

6. How long I keep it

  • Enquiries and form answers: up to 12 months after we last spoke, unless you become a client
  • Client information: for the length of coaching plus up to 2 years, and financial records for as long as the law requires (usually 6 years)

You can ask me to delete your information sooner (see below).

7. Your rights

You can ask me to:

  • Give you a copy of the information I hold about you
  • Correct anything that's wrong
  • Delete your information
  • Stop contacting you
  • Stop using your information for a particular purpose

Just email me at the address above and I’ll reply within one month. If you’re unhappy with how I’ve handled your information, you can complain to the Information Commissioner’s Office (ico.org.uk) in the UK, or to your local data protection authority.

8. Keeping it safe

I keep your information in password-protected accounts and only use it for the reasons above.

9. Changes to this policy

If I change this policy, I’ll update the date at the top of this page.
